Do you need a binder or box file that fits both A4 and US Letter (8.5 × 11 inch) pages without edge overhang?
Because standard binders are manufactured strictly for one regional standard, finding an off-the-shelf file that accommodates both European A4 and North American Letter sizes—alongside their respective plastic page protector sleeves—can be surprisingly difficult. The compromise tends to be an oversize A4 lever arch file and the purchase of a 2 hole punch.
There are many reasons why you might need a binder or box file that accommodates both internationally sized A4 paper and US Letter paper.
It is something we are asked for quite often, particularly by customers in North America who are collectors and have paperwork or provenance in both A4 and 8.5 × 11 inch formats. They are looking for a file – or a series of files – that not only fits both sizes of paper, but also accommodates the equivalent plastic page protector sleeves without them protruding over the top or sides of the binder.
The Provenance Problem: Classic Cars & Mixed Paperwork
Classic car collectors are a good example. A European classic or vintage car may have started life in the United Kingdom, Italy, Germany or France, with its original invoices, receipts and documentation in A4 format. The car is then exported to the US or Canada, where its subsequent history and documentation continues on 8.5 × 11 inch US Letter paper.
The reverse can be equally true for European buyers of classic American cars; perhaps a muscle car built in Detroit, owned for decades in the US and subsequently exported to Europe.
Ideally, you want to keep all of this history together in one binder. The problem is that A4 and US Letter paper have different proportions. A4 is taller and narrower, while US Letter is shorter and wider. As a result, finding an off the shelf binder that comfortably accommodates both paper sizes – and their corresponding page protector sleeves – can be surprisingly difficult. There is usually a compromise somewhere.
A binder for family history and archive documents
Family histories and personal archives are another area where an all encompassing binder or box file can be invaluable.
Older documents can introduce even more paper formats. Before A-series paper became commonplace in Britain, for example, documents were frequently produced in sizes such as Foolscap. At approximately 8 × 13 inches, Foolscap differs again from both A4 and US Letter paper.
An archive containing family records, correspondence, certificates, photographs and other paperwork can therefore contain several different document sizes, all of which you may want to preserve together.
A4, US Letter and other common paper sizes
Although A4 and US Letter look broadly similar, their different proportions are exactly what can cause problems with standard binders and page protectors.

The key difference between A4 and US Letter is that A4 is approximately 18 mm taller, while US Letter is around 6 mm wider. Once page protector sleeves are added, the overall dimensions increase again.
This is why a binder designed strictly around A4 may be too narrow for US Letter sleeves, while a standard US Letter binder may not provide enough height for A4 documents and pockets.
Bespoke binders made to fit both A4 and US Letter paper
This is where Hartnack & Co can provide a solution. Because our binders and box files are individually made to order, we can produce a file specifically sized to accommodate both A4 and US Letter paper.
Rather than designing the binder around one standard paper size, we take the largest dimensions required by the different formats and use these to determine the overall size of the cover. In the case of A4 and US Letter, the binder can therefore be tall enough to accommodate an A4 page while also being wide enough for an 8.5 × 11-inch US Letter page.
The same principle can be applied to other combinations of paper sizes. For example, we can make binders to accommodate A5 alongside smaller North American paper formats, or larger files designed around A3 and US Tabloid paper.
The important point is that the binder is made around the documents you actually want to store, rather than forcing your documents to fit a predetermined binder size.
Page protectors for A4 and US Letter documents
We can also supply archival-quality clear plastic page protectors suitable for storing both paper formats, available on request.
Our A4 page protectors are multi-punched, which means they can also be used with a three-ring binder mechanism. For customers who need to combine A4 and US Letter page protectors in the same binder, a three-ring mechanism is therefore often the most practical choice.
